Biography and Memoir MA Program: College Assistant Position

 

Title: College Assistant
Department: M.A. Program in Biography and Memoir

The Graduate Center M.A. Program in Biography and Memoir is seeking a College Assistant. Under supervision, the incumbent will perform miscellaneous clerical, administrative, research or other work related to the departmental operations. Employees in the College Assistant title work up to 20 hours per week, and 1,040 per fiscal year. Until further notice, this is a hybrid position, with a 70% in office presence required.

Duties include but are not limited to:
• Perform standard office work; may answer and attend to telephone calls; maintain records, operate office machines (such as copier), sort and distribute mail, issue keys and identity cards.
• Perform day-to-day communication with faculty and students.
• Assist in the maintenance of the program office and management of the program’s budget and financial records
• Maintain a record of all students’ required courses, general progress, and contact information.
• Assist the director in scheduling the program’s courses.
• Process documents for reimbursement/payment, tracking budget and acting as liaison with Business Office to coordinate all purchasing and payments.
• Maintain contact with Business Office, Provost, Registrar, Admissions, and other GC administrative offices.
• Handle AV, catering, and facilities requests, along with other special event help.
• Maintain the program website: www.gc.cuny.edu/BAM. This includes course listings, program information, student bios, faculty information, program handbook, and special event
information.
• Enter and maintain departmental records such as rosters, directories, schedules and inventory.
• Assist in the improvement of alumni outreach and relations.
• Maintain the program’s social media presence.
• Other duties and special projects as assigned by the Program Director

Minimum Qualifications:
• Excellent communication and interpersonal skills

Preferred Qualifications:
• One year of office/administrative experience
• Bachelor’s Degree
• Relevant computer skills, including a high degree of proficiency in Excel, Outlook, Word. Willingness to be trained on in-house systems such as AppReview, CUNYFirst and CUNY Buy.
• Ability to work independently and carry out a variety of tasks with above average problem solving capabilities.

Salary: $24.97 per hour
